Position Summary
The Customer Service Specialist is an integral part of our operations and will help facilitate order processing, quoting, billing and inventory while providing excellent customer service; and, collaborate with internal stakeholders to ensure our customers are our priority.
Core Responsibilities
-- Promptly respond to customer queries and orders
-- Be part of the team that answers the main company phone line
-- Maintain a polite, helpful, and professional manner at all times
-- Data entry of customer orders, billing, and inventory
-- Immediately escalate serious complaints or issues that you are not equipped to deal with
-- Liaising with colleagues or managers to find the best solutions to customers' and inventory issues
-- Resolve product or service problems by clarifying the customer's complaint; determining the cause of the problem; selecting and explaining the best solution to solve the problem; expediting correction or adjustment; following up to ensure resolution
-- Contribute to team effort by accomplishing related results as needed
-- Build sustainable relationships of trust through open and interactive communication
-- Provide accurate, valid, and complete information by using the right methods/tools
-- Keep records of customer interactions, process customer accounts, and file documents
-- Follow communication procedures, guidelines, and policies
-- Use telephones to reach out to customers and verify account information
-- Assist with placement of orders, refunds, or exchanges
-- Compile reports on overall customer satisfaction
-- Work with project manager and sales to ensure proper customer service is being delivered
-- Act as the company gatekeeper
-- Adheres to all company policies, procedures, and business ethics codes
-- As part of a small office team, perform other duties as assignedKnowledge and Skill Preferences
-- High school diploma or GED
-- Bachelor's degree in business, communications, or a related field may be advantageous
-- Practical experience with CRM and/or accounting software, such as Salesforce and Sage, preferred
-- Previous experience in a customer service role is preferred
-- Ability to respond appropriately under pressure
-- Sound judgment and excellent problem-solving skills
-- Highly organized and detail-oriented
-- Positive attitude and ability to build relationships with customers and colleagues
